St. Louis Affiliate WOCN Meeting Minutes
Members Present:
Meeting called to order at 4:10 pm by April Kuhlman, Secretary as Lisa Hodges, President was absent.
1. Previous minutes approved without changes, motion made by Marge Groom, seconded by Pat Donald. Motion carried.
2. Secretary Report-St. Louis has been selected as one of the final sites for the 2009 WOCN conference. We will let you know if we make the final cut.
Additionally, we are testing a new email address: info4stlwocn@yahoo.com. Please add this email address to your email address book so that it will be accepted. I continue to receive many failure messages from those who use their work email addresses especially the SSM and St. Luke's systems. You may need to speak to your IT personnel or use a home email address instead. You can also access information at the website at www.stlwocn.org
3. Membership dues: This is a reminder that dues are now past due. If you are in the local membership category (due not belong to national WOCN) or did not renew your national WOCN membership, dues need to be paid in February of each year. Regardless of the month in which you paid dues last year, if you have not paid since January 1, 2007, membership dues are now due. It is too difficult to keep track of the various months in which members pay that is why we have a set time each year that dues need to be paid by. If you do not pay by the end of the month, you will be removed from the list.
If you are a national WOCN member, no additional dues need to pay for the local affiliate.
4. Website contract-Our current contract with Websites for People expires at the end of June. The contracted rates are going up from $300 to $450 per year. Additionally, the number of updates allowed per year for that rate is decreasing. We are currently allowed 2 hours of website maintenance and updates per month. This is decreasing to 6 updates per year. Additional time will be charged at $75 per hour and new web pages (such as the one we asked for local conferences, etc.) were quoted at $150 per page.
We need to decide if we want to continue with the services provided by Websites for People, explore other commercial services or choose to perform the updates ourselves.
Various software packages exist that can assist with the creation and maintenance of websites by relatively inexperienced persons. I have investigated the use of several and chose Coffee Cup as the easiest to use and it will let you import files from Word, etc. saved as HTML directly into the site. The cost is $50 and includes updates. A "sample" website was created by me to show you what we can do with it.
We will still need to pay the costs for domain name registration and website hosting regardless of our decision.
Members viewed the "sample" website. Pat Donald made a motion to 1) not renew our contract with Websites for People 2) Purchase the Coffee Cup software 3) Name April Kuhlman as the webmaster to create and maintain the website. The motion was seconded by Marge Groom and the motion carried.
Another motion was made by Betsy Naeger and seconded by Marge Groom for April to keep track of the number of hours devoted to website development and maintenance so that the group can decide upon a fee at the next meeting. April discussed that this was not necessary, however, the group stated that the responsibility fell outside of the duties of secretary and we would discuss it further at the next meeting.

7. Those present introduced themselves and their place of employment due to new members being present.
8. UOAA report-Betsy Naeger. The St. Louis group has steadily been gaining new members. Don't forget that the Visitor Program is available. Betsy is the coordinator. You can call her or fax to her a form with the information regarding your patient. She will match the patient with someone who has the same type of ostomy, near the same age, same sex, who has had their ostomy for at least 1 year. Many patients report how helpful it was to talk to someone who "has been there". Betsy also handed out flyers for the Youth Rally.
The annual Product Fair will be 5/7. Encourage patients to come. Various vendors will be there. WOC Nurses are also encouraged to attend to lend their support.
